Survey Communication Guidelines
Effective communication is key to boosting participation in your b-Heard Survey. Within this article we explain everything that you need to know about communicating your survey.
We've taken the guesswork out of the equation by providing all the communications you’ll need for your survey - no need to create anything from scratch! However, if you do plan to add or modify any messages, just send them our way for approval before sharing with your team. We’re here to help ensure everything runs smoothly.
Announcing Your Survey: Get the Word Out Early
For maximum impact, we recommend sending the survey announcement (ideally from your CEO) at least one week before the survey goes live. This gives your employees time to prepare and increases participation rates. We’ve also included ready-to-use posters to display in your workplace or office locations, giving employees a heads-up and encouraging them to get involved.

The posters we’ve provided are available on your dashboard and are designed to be easy to use - simply download and post them in your workplace. We recommend keeping them as is, but if you’d like to add your company logo, no problem! We can provide a version that fits your brand. Just send it to us for approval before sharing it with employees.
Encouraging Participation: Keep It Fair and Unbiased
To ensure the survey remains unbiased and results are reliable, please avoid offering incentives like bonuses, gifts, or promises of celebrations. Also, don’t distribute any materials that could influence how employees respond or hold sessions on how to fill out the survey. The invitation and accompanying letter already contain all the instructions employees need. And if anyone has questions, our team is always available to assist.

Reminding Employees: A Gentle Nudge
It’s always a good idea to remind employees about the survey as the deadline approaches. If you use our reminder templates, make sure they’re sent to all employees selected for the survey. We advise against targeting specific groups or individuals. Want to create your own reminder? No problem - just make sure to get our approval first.
Please don't attempt to record individual responses or track who has or hasn't completed the survey.
